Passport Renewal

1. A new passport is issued for a period of 10 years.

2. Please fill up the form as specified and attach three photographs along with it. Attach the original
    passport and a photocopy to the form.

3. Those Nepalese nationals holding a five-year period passport can apply for renewal, which is actually a
    replacement by a new passport, when the duration of the validity of the passport is less than six
    months.

4. In case the validity period of the passport is required to be more than six months for the purpose
    of visa renewal, replacement can be issued on request.

5. If the relevant documents and the passport to be renewed is hand-carried by a company staff, he/she
    should produce a letter in company letterhead duly signed by an authorized personnel. The person
    should produce his ID during submission of the documents.

6. Authorized letter and identity card is necessary for submission of the forms as well as delivery of
    renewed passport.

The Nepalese passport issued by the Government of Nepal to its citizens is important document which needs to be safely kept and protected all the time by the passport holders or the undertaking companies.

In Case Of Loss Of Passport

(1) Company letter in detail about the incident and future precaution.

(2) One duly filled passport replacement application form for each worker.

(3) Two passport size colour photographs (1?X 1?) of each applicant with name at the back.

(4) One photocopy of the lost passport (photo page and current visa page on a single sheet) to be attached each application form.

(5) Two copies of the Police Report regarding the loss and its English translation. Also provide the complete mailing address (in English), Tel & Fax number of the police station where the report was made.

(6) One set (hard print & soft print) of the name-list of the workers together with their passport numbers, place of issue, permit expiry date and contract expiry date. Application forms are also to be arranged according to this list.

(7) Photocopy of the approval of the Calling Visa from Immigration Malaysia. (Please highlight the relevant names and PP numbers)

(8) The Immigration Department should be promptly notified of the loss / theft of the passport. Attach a copy of the same letter along with its English translation.

(9) Report of the insurance company, where the company has insured company premises and the documents.

(10) Photographs of the theft area, including the safe, lockers, etc. Please use full sheet of A4 size papers to paste photographs.

(11) Company Boss himself (or H/R Manager with authorization letter from the Boss) and specified representatives of workers are to come to the Embassy for interview, along with the abovementioned documents.


(12) Employment Contract between Employer and the Employee (One only as a sample)


Please Note:
[1] All above documents should be submitted to the Embassy in the company letterhead, signed by the company Boss, stating details of the loss/theft and preventive measures being taken in the future by the company to avert such cases.

[2] The Embassy may also make the visit to the company to assess the report of the loss of the passports. In that case, the company should provide all the details and make available the Boss/HR Manager and the affected workers for interview.
